Batch Documents

Attach compliance certificates, QC reports, and other documents directly to production batches. These documents travel with the batch — when customers scan a QR code for that batch, any Public documents appear on their trace page automatically.

Batch documents vs SKU documents

Meiver has two document stores. Understanding the difference helps you put files in the right place.

Batch Documents
Uploads → Documents
  • Attached to a specific production run (batch)
  • Contains the actual lot-level COA, QC pass/fail, and delivery compliance docs
  • Shown to consumers scanning that batch's QR code
  • Specific to one batch — different lots have their own documents
SKU Documents
Uploads → Images
  • Attached to a SKU (product), not a specific batch
  • Contains product photos, spec sheets, general certifications
  • Shown to all consumers who scan any batch of that SKU
  • Reusable across many batches of the same product
Rule of thumb: if the document is specific to a production lot (e.g. the COA for batch B-1212), attach it to the batch. If it applies to the product in general (e.g. a product photo or general spec sheet), attach it to the SKU.

Upload documents to a batch

There are two ways to upload documents:

Option A — quick upload from the batch list:
On the Documents list page (Uploads → Documents), click Add documents in the Upload column of any batch row. The upload modal opens immediately — no need to navigate to the batch detail page.

Option B — from the batch detail page:
Click View on any batch row to open its document detail page, then click Add documents in the top-right header.

In the upload modal:
  1. Choose Public or Internal visibility.
  2. Drag & drop files or click the drop zone to browse. Multiple files can be queued.
  3. A real-time progress bar tracks each upload.
  4. The Docs count on the list updates immediately after upload — no page reload needed.
Upload the batch COA as Public so consumers can verify product quality directly from the QR trace page.
Accepted formats: PDF, DOCX, XLSX, CSV, PNG, JPG, and more — max 10 MB per file. COAs are typically PDFs; upload them as-is.

View and manage documents on the batch detail page

Click View on any batch row to open the Batch Documents detail page for that batch. The page shows all documents attached to it in a full table (desktop) or card list (mobile) with the following columns:
  • Preview — thumbnail for images, file-type icon for PDFs and other documents.
  • Title — original filename, clickable to open the file in a new tab.
  • Size — file size in KB or MB.
  • Content Type — MIME type (e.g. application/pdf).
  • Visibility — Public or Internal badge; click to toggle.
  • Uploaded — date and time the file was uploaded.
  • Actions — Open (view in new tab) and Delete buttons.
The batch number and status are shown in the page heading — e.g. 'Batch Documents — B-1212'. Use the Back button to return to the Documents list.
Visibility control

Control who sees each document

Every document has a visibility setting set at upload time — you can change it anytime from the batch detail page.

Public

Visible on the consumer QR trace page for this batch. Use for COAs, compliance certificates, and any document your customers should be able to read.

Internal

Only visible to your team in this dashboard. Use for internal QC notes, raw test data, supplier invoices, or anything not meant for consumers.

How to change visibility after upload

  1. Go to Uploads → Documents and click View on the batch.
  2. Find the document row and click its Public or Internal badge in the Visibility column.
  3. The badge toggles instantly — no save button needed.
File management

Delete documents & bulk delete

Delete a single document

Open the batch detail page, find the document row, and click Delete on the right. A confirmation dialog will appear before anything is removed.

Bulk delete

Check the checkbox on one or more rows to select them. A floating action bar appears at the bottom — click 'Delete selected' to remove all checked files at once.

Deletion is permanent — the file is removed from both the database and cloud storage and cannot be recovered. Only users with Delete permission can delete documents. Tenant Admins always have this permission.

Batch status reference

Each batch displays a status badge on the Documents list. Here's what each status means and which documents are typically expected at each stage.

Planned
Pre-production specs, formulation sheets, ingredient sourcing docs.
In Progress
Work-in-progress QC checkpoints, in-process control records.
Ready
Certificate of Analysis (COA), final QC report, packaging compliance docs.
Delivered
Delivery notes, shipping compliance docs, customs clearance certificates.
Closed
Final archived COA and any post-sale compliance records.
Recalled
Recall notice, investigation report, root cause analysis, customer communication.

What consumers see on the QR trace page
All Public documents attached to this batch appear as downloadable links with their filename.
Public SKU documents (product photos, spec sheets) also appear on the same trace page.
Internal documents are never shown to consumers — access is enforced server-side.
Troubleshooting

Common issues & FAQs

I don't see the 'Add documents' button on a batch row+
The upload button is only shown to users with 'documents: create' permission. Contact your Tenant Admin to grant you create access via Settings → Users.
The Docs count didn't update after I uploaded+
The counter updates optimistically in the browser. If it didn't change, try refreshing the page. If the upload succeeded but the count is still wrong, it could be a caching issue — a hard refresh (Ctrl+Shift+R) will fix it.
My document doesn't appear on the consumer QR page+
Check that the document is set to Public visibility. Open the batch detail page (View → Visibility column) and click the badge to toggle it to Public.
I can't find a specific batch in the list+
Use the search bar at the top — you can search by Batch # or status. If the batch was created under a different entity, switch entity using the entity selector in the top of the sidebar.
The upload progress bar reaches 100% but the file doesn't appear+
This can happen if the record-creation step fails after the file is stored. Refresh the page — if the file was saved successfully, it will appear. If not, upload again.
Can I attach the same document to multiple batches?+
Not directly — each document is linked to one batch. If the same certificate applies to multiple batches, upload it to each batch separately.
What is the maximum file size?+
10 MB per file. For large PDF reports, consider compressing them first. Contact support if you regularly need larger limits.
Can I move a document from a batch to a SKU (or vice versa)?+
Not directly. You would need to delete the document from the current location and re-upload it to the correct one.
